Call to Order: President John Lindacher called meeting to order at 7:02 pm, reminding those in attendance to silence their cell phones. He then led the group in the Pledge of Allegiance
Roll Call by Marianne Stone: Present: John Lindacher, Sandy Lehman, Howard Korn, Sue Wolf, Sharon Guy, Frank Forant and Marianne Stone.
Previous Meeting Minutes: John asked if there were any amendments to the minutes of the January 9th meeting. There being none, a motion to accept the minutes as posted, was made by Sharon Guy, second by Sue Wolf. Motion carried unanimously.
President’s Report: John welcomed all in attendance to the first meeting with the new Board of Directors. He delivered his message that the Board of Directors represents, not just the members of the HOA, but every resident within The Hamptons.
He explained the differences between a true HOA wherein property is owned and a social HOA such as that in the Hamptons where property is leased.
He also outlined the agenda of the new board for the coming year. Those items are:
Safety, Respect, Ownership, Volunteerism, and Inclusion.
He shared that this Board has developed action plans for several items, two of which are foremost: A. Digitalization of all required records B. Compliance with Polk County’s rules for holding Bingo.
Committee Reports:
Treasurer: Howard Korn gave the treasurer’s report. The HOA is in good shape financially. There being no questions, John asked for a motion to accept the report as given. Motion by Sue Wolf; second by Sharon Guy. Motion passed unanimously. Howard explained that some expenditures have been made to help keep records easily accessible when officers change. 3 computers have been purchase to date each of which has a terabyte of storage – or more than enough for the next few years. John asked for a motion to authorize the costs. Motion by Sue Wolf; second by Sharon Guy. Motion passed uananimously.
Bingo: Frank Forant reported that Bingo records are up to date and will be kept at the Clubhouse. He also reported that a separate checking account is in the process of being established for Bingo funds.
Recycling Program: Frank Forant reported that volunteers are still needed for the can crushing project which provides funds for miscellaneous projects each year in The Hamptons.
Bylaws: John reported that this is an ongoing process with some new directives about digitalizing records. He and Marianne Stone will start the review process in the near future.
Community Concerns: Sharon Guy reported that pump stations are still an issue with unacceptable items being flushed down toilets by some residents. She reminded those present that only flushable wipes can be flushed and to read the label when wipes are purchased to insure that they will not cause damage to the life station pumps.
She also reminded residents that the 360 inspections are still being conducted by Sun representatives. If in doubt a picture can be taken and brought to any board member for consideration as to what can be done to rectify the changes suggested by Sun. She also reminded everyone to look out for their elderly neighbors who might need help with minor repairs. Bring those concerns to the board as there is a group of residents who will help with minor repairs.
She reminded all of themailbox for residents to place improvement/new ideas in along with their concerns located by the back entrance to the ballroom.
Events: John reminded everyone present that tickets for the Friendly Feud Show are available from Sue Wolf and Mike Davis. Cost is $10 per person for HOA members and $15 per person for non-members.
He also encouraged members with ideas for future events to contact him.
IT & Technology and Facebook: Marianne reported that the work on the new website is progressing at a faster pace than was expected and if no future snags are hit that it will be going live no later than June 1, 2025. The have been some costs associated with once again having a formal webpage for The Hamptons HOA. John asked for a motion to pay these costs. Motion by Sharon Guy, second by Sue Wolf. Motion passed unanimously.
The Facebook site continues to grow with more residents joining each week. The committee continues to field requests from people not living in the community. Some are invited by friends or family living in The Hamptons and some are most likely scammers trying to gain access to the page. If you are aware of someone who has left the community, please contact a one of the moderators of the group: Marianne, Cheryl, Julie or Nancy.
Welcome: Sue Wolf reported that there were 5 homes sold in February and that she has called on three of them and will be calling on the other two in the near future.
Directory: Marianne reported that she has posted on the Facebook site dates, days, times and locations when the directory is available to be picked up at ther home or when she and her husband will be out delivering those that have not been picked up by the residents. The Private Census forms continue to come in for processing and these will be the basis for the start of the new 2027 directory. If you have not completed a Census, please do so and place it in the HOA mail box near the rear door of the ballroom just under the Concerns mail box.
Statutory: John and Sharon are following up on concerns as they are presented with concerns from residents. No formal request for a meeting with Sun representatives has been made at this time.
John then opened the meeting for questions/concerns from members present.
Mike Barry – who is hosting the website? Marianne replied to his question - Ionos
Marianne Miles – Gate issues/entrance issues/inadequate lighting to show where the entrance to The Hamptons is located. John asked Tod Drew who was present to answer this question.
George Bradley – Issues with raccoons during which other residents also spoke of the same issues.
There being no further business before the Board, John asked for a motion to adjourn the meeting. Motion by Howard Korn; second by Sue Wolf. Motion carried unanimously.
