August 14th, 2025 HOA Board Meeting Minutes

President John Lindacher called the meeting to order at 7:03 p.m.

He asked all present to silence their cell phones and to rise and join him in the Pledge of Allegiance to our flag and country.  He then asked for a moment of silence for the two residents who lost their lives in the recent house fire.

Present were:  John Lindacher, Sandy Lehman, Howard Korn and Marianne Donner-Stone.  Present via telephone was Mike Davis.

Absent were Sharon Guy and Sue Wolf.  Sharon sent her votes on the motions that she knew were to be made.  Sue had an unexpected family situation and could not attend.

John then presented a summary of the Community Meeting held in August regarding the new Sun  Prospectus changes,  He shared with those present that as a result of the meeting and review of several inconsistencies, the Board had met with Sun representatives, Todd Drew and Jessica Lanahan.  At that meeting each item of concern voiced at the Community Meeting was discussed with Todd and Jessica.  They asked for a 10-day time period to get back with the Board.  

He shared that The Hamptons Business office is going to be having some changes in personnel in the near future.  Trisha, Faith and Maintenance Supervisor Mike have or are leaving. As a result, an Organization Forum is going to step up for events.

John then announced that the HOA Website was completed two months earlier than promised and now will be upgraded in the next step to accept HOA membership payments.  

The Bingo Compliance has been completed and there will be a vote held for the Board to accept the documents and committee tonight.

He will be providing statistics in September rather than to tonight.  The numbers will be more current at that time. 

Vice President Sandy Lehman are still two open positions for the board and anyone wishing to be considered should provide a brief resume as to their qualifications and interest in serving the community.  She also announced that Movie has moved to Sunday Night at 7:00 and that Sunday the movie will be “Clue” with all three different endings.  It is a great comedy.

Treasurer Howard Korn then spoke informing those present that there are two forms to help protect your ownership of your home on leased land.  The Declaration of Manufactured Home is available from the county clerk’s office, and every resident owner can file form with county clerk.   The second form also has to be filed at the Clerk’s Office.  It is the Declaration of Domicile and is associated with Medicare   which allows you to declare that the manufactured home is your home.  Each form is one page.  Charge is $10 each for recording fee.  In addition, one form must be notarized which can be done at the clerk’s office; they charge $10 for notary fee.  It is a one-time fee.  These papers should be kept with your important papers.

Howard also had two important things to share.  Insurance costs went up dramatically again.  He did due diligence with regard to costs and policy as to whether the HOA is over insured then made necessary changes and filed form to challenge the cost and almost $700 was refunded.

He announced that the Bingo account has been established and the entire report will be posted on the HOA bulletin board for anyone to review.  HOA still has a very solid bottom line.

Balances  $82,580.13. CD ;  $1,831 Checking;   $993.93 Debit card;   $43,531.42 Money Market;  and $400.45 Bingo Account

John then asked if there were any amendments to the Treasurer’s Report,  

Marianne Donner-Stone moved that they be accepted as reported, second by Sandy Lehman.  The motion passed unanimously.   

Howard then discussed the initial plans for the February 2026 Car Show.  There will be more information in the future.  He also said that there will be a need for volunteers to help with various tasks.

Vice President, Sandy Lehman then announced that former board member and entertainment chairman, Mike Davis, had submitted a request to re-join the board.  All present knew of Mike’s interests and his ability to get things done.

John called for a motion to accept Mike back onto the board after his brief absence. Motion by Sandy Lehman, second by Marianne Donner-Stone.  Motion passed unanimously.

Both John’s and Howard’s reports on the Tuesday Bingo Game had been given. John asked for a motion to accept the Bingo charter and Committee Charter.   Motion by Howard Korn, and a second by Sandy Lehman.  Motion carried unanimously.

Vice President Sandy Lehman reported for Sue Wolf that there were now 416 HOA members as of July 31st.  She also reported that Sue has been calling on new residents after she receives the monthly report from Todd.  There were 9 new residents in June and 8 new residents in July.  

Marianne Donner-Stone reported that the web page is active as John had said earlier and is undergoing construction to allow residents to pay their dues online.  There will soon be a store on the website also.  She urged residents to visit the site often as it is updated frequently with pertinent information about events, legal matters, etc.  She then started to give a short report about the suggested pausing of the Facebook Page.  It ended when a member approached the microphone with suggestions.  However, the suggestions made were redundant in that the Board had discussed these same ideas and had concluded the following:  With the Sales Page and the Social Page, in addition to the HOA website, the HOA page was no longer necessary.  Having three pages plus a website makes it inconvenient for people who have information to post because they must post it not once, but three times.

John called for a motion to pause the HOA information page.  Motion by Marianne Donner-Stone.  Second by John Lindacher.  Motion carried with a vote of 5 ayes and 2 nays. Marianne will pause the page until such time as the Board would determine it should be re-opened.  

Howard Korn reported on the progress of the HOA Car Show to be held in February 2026.  He will have more information as time goes on.  He will be looking for volunteers to help with the show.

Residents in attendance were then given the opportunity to ask questions or express concerns.

The topics covered by those who spoke included:  Board election procedures, Pausing of the HOA sponsored Facebook Page, Review of the HOA Bylaws;

There being no further business before the Board, John asked for a motion to adjourn.  Motion by Sandy Lehman, seconded by Howard Korn.  Motion passed unanimously.
